Publications Coordinator Job Description

As a Publications Coordinator, you will play a vital role in managing the creation, production, and distribution of various publications within our organization. You will collaborate with multiple departments to ensure the timely delivery of high-quality print and digital materials, including special letters, meeting announcements, newsletters, brochures, and promotional materials. The ideal candidate possesses exceptional organizational skills, a keen eye for detail, and the ability to effectively coordinate multiple projects simultaneously.

Responsibilities:

  1. Publication Management:

    • Oversee the planning, development, and execution of all publication projects.
    • Collaborate with internal stakeholders to determine publication goals, themes, and content strategies.
    • Develop and maintain a comprehensive publication schedule to ensure timely production and delivery.
    • Coordinate with external vendors, such as printers, graphic designers, and photographers, to facilitate the production process.
    • Review and proofread all publication materials to ensure accuracy, consistency, and adherence to brand guidelines.
    • Assist with managing the budget for publication projects, including cost estimation, expense tracking, and invoice processing.
  2. Content Development:

    • Work closely with Community Managers and other subject matter experts to generate engaging and relevant content.
    • Conduct research and interviews to gather information for articles, features, and other publication components.
    • Edit and format content for clarity, grammar, style, and consistency.
    • Ensure that all content aligns with the organization’s brand voice, messaging, and communication objectives.
  3. Digital Publication:

    • Coordinate the production and distribution of digital publications, e-newsletters, and online articles.
    • Create new community web pages.
    • Coordinate access for community volunteers. 

Qualifications:

  • Excellent written and verbal communication skills.
  • Strong editing and proofreading abilities.
  • Strong analytical skills.
  • Proficient understanding of governing documents.
  • Proficient in project management and organizational tools/software.
  • Familiarity with graphic design principles and software is a plus.
  • Knowledge of digital publishing platforms and content management systems.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
  • Detail-oriented with exceptional time management and multitasking abilities.
  • Strong interpersonal skills and the ability to collaborate with cross-functional teams.
