Activity CoordinatorThis is a specialized position working with one of our larger communities. Responsibilities include coordinating multiple special events for residents, working with office staff and various vendors to ensure events are well organized. Facilitate communications through the community’s dedicated web site and newsletter, maintain access device database, distribute facility devices and provide general information to residents. Special events will include Spring, Fall and Winter festivals, splash days, community garage sales, and more. The position requires a minimum of 3 hours per week working at the onsite office in the community and attendance at all events with the ability to work the remainder of the full-time schedule from home.

The Activity Coordinator (AC) shall generally do and perform, or cause to be performed, all acts and things reasonably necessary to conduct community events.  The AC shall also act as editor of the community intranet, newsletter, and event-related communications.  The following job description outlined is an overview of the position’s responsibilities.

  • Coordinate special events and ongoing community activities as approved by the Board and within the constraints of the Association budget
  • Solicit volunteers
  • Coordinate volunteers and hired help for community events
  • Coordinate with established and new community groups
  • Provide photos of community events and group events for Intranet and newsletter
  • Prepare an annual events calendar and budget to be presented to the Board of Directors for approval
  • Attend quarterly Board meetings and prepare an AC Agenda and packet for meeting
  • Conduct monthly Intranet Training Classes for new residents
  • Monitor and manage the content of the Intranet on a daily basis
  • Act in accordance with all decisions made by the Board of Directors related to AC
  • Respond to the needs of the Association members.  Communicate with members through telephone calls, letters, and/or meetings.  Assist members with any AC related issues they may have.
  • Communicate with all entities related to the community events, Intranet and newsletter
  • Participate in training offered by Association and Management Company
